Payroll & Benefits Manager – Chertsey (Hybrid working)
25 hours per week, Pro-rata salary £32,333 (FTE £48,500), plus excellent benefits
We’re looking for a proactive and detail-oriented Payroll & Benefits Manager to join our Toshiba team!
You will play a crucial role in ensuring a hands-on approach and will have the experience to take on an overall holistic view of the payroll function and deliver a world class service.
You will be responsible for the management and delivery of the UK payroll for c 200 employees using the Company’s IRIS Cascade integrated HR & Payroll system. You will liaise with multiple stakeholders, manage the Company’s bonus and commission payments as well as all benefits and fleet administration for Toshiba Tec.
The successful applicant will be a deeply experienced Payroll Manager who has previously managed as a minimum a UK payroll and is familiar with benefits administration, has high levels of accuracy and is fully conversant in compliant payroll, benefits and fleet.
Your strategic vision will help enhance payroll processes and employee benefits programs, making a real difference and supporting Toshiba Tec’s ambitious growth plans.
The Role:
Payroll - full end to end processing of our monthly in-house payroll (circa 200HC). Working alongside the HR team to collect accurate payroll data and processing this into the payroll system (IRIS Cascade)
Paying the necessary disbursements (e.g. HMRC liabilities, court orders etc.)
Ensure all payroll changes are fully authorised, implemented and actioned working closely with the HR Advisor on changes
Provide accurate and timely management information on all aspects of payroll and liaise closely with key stakeholders
Respond to payroll queries from employees, ensuring resolution within agreed timeframes and in a confidential manner
Managing all family friendly leave calculations and ensure this is recorded accurately on IRIS Cascade
Undertake year end procedures including preparation and distribution of relevant payroll reports including month end, year-end, P11Ds, P60s etc
Payrolling all benefits, and accurately checking monthly benefit data
Processing the monthly pension upload and reconciling this with the monthly return
Management communication, co-ordination and administration of all pension schemes
Manage the pension auto enrolment compliance
Ensure timely and regular communications with employees on their contribution options under the scheme(s) including coordination of pensions seminars run by external pensions consultant
Develop, maintain and update a Payroll Operating Manual and supporting process documents to provide a comprehensive overview of the key requirements necessary to run the monthly payroll process on IRIS Cascade
Working closely with the Finance team for payroll journals and reports
Consistently reviewing processes to ensure optimisation and automation
Taking ownership for payroll compliance and audits
Benefits
Managing the annual benefits renewal process with Toshiba Europe and uploading benefits data reports
Oversee the administration of company benefits, managing renewals and employee queries and identifying improvement areas and new potential benefits for employees
Act as the primary point of contact for all employee benefits queries, delivering a world-class employee experience
Ongoing communication to employees on our benefits, ensuring staff are aware of the current offerings and informed of any changes
Competitor and market research for new benefit providers or offerings
Continuously review and enhance our benefits offerings, ensuring alignment with our growth plans
Fleet Administration
Working alongside our Finance Director and Fleet Management Company – Marshalls, to administrate our fleet of circa 60 cars
Advise Marshalls of requirements for starters & leavers and work with them directly at end of lease renewals
Monitor licence details and insurance checking via third party company checks
Monitor mileage of cars with trackers, recharge private fuel costs to employees via 3rd party report and validate
Ensure compliance with Toshiba car policy and review and update accordingly
Work with Marshalls to obtain list price and CO2 values for new cars, and use information to calculate payroll benefits and add to Payroll data/ system
Review condition of returned cars and work with Marshalls directly on repairs/ contra charges
Compliance and Best Practice
Ensure all payroll and benefits processes adhere to local tax laws, statutory regulations, and company policies
Develop and maintain accurate payroll and benefits records to meet audit requirements
Stay ahead of UK compliance trends, minimising risk and ensuring operational excellence
Act as a trusted advisor to Head of HR and Directors, providing insights into payroll and benefits data to support decision-making

Experience: you will bring extensive experience in payroll and benefits, with proven expertise in managing UK payroll and ensuring compliance
HRIS Expertise: you've worked with HRIS platforms (e.g. IRIS Cascade), and have successfully implemented payroll provisions through systems
Commercial mindset: you're a strategic thinker who understands the impact of payroll and benefits on business success
Tech-Savvy: you have hands-on experience with leading payroll providers (bonus if you know IRIS Cascade) and thrive on improving and automating processes

Excellent knowledge of UK tax rules and pensions obligations
Accomplished Microsoft user (Excel, PowerPoint, Word, Excel) - sufficiently developed skills to be able to manipulate large data sets (including vlookup function, pivot tables
