Working 21 hours per week in a small administration team for an R&D laboratory in central Bristol, the role is to carry out accounts payable function and assist in monthly management accounts as well as ensuring daily office operations run effectively and efficiently. 

  • Experience of working in a finance/accounting role previously is essential
  • A good knowledge of Microsoft 365, Access Dimensions and Focal Point and Oracle accounting software would be advantageous. 

Key finance responsibilities:

  • Assist Accounts Administrator with day to day accounting functions including:
  • Processing purchase requests,  purchase orders and invoices
  • Maintaining Purchase Ledger and General Ledger
  • Preparation of intercompany transactions and reporting to parent company
  • Preparation of monthly management accounts
  • Preparation of year-end management accounts and reporting
  • Control of cashflow, cashflow forecasting and bank reconciliation
  • Preparation of VAT returns
  • Collating data for audit and liaising with auditors
  • Collating and analysing data for tax computation and tax return with accountants

Key office administration responsibilities:

  • Assist in the efficient running of the reception function and administration department including:
  • Maintain H&S management documentation and carry out monthly H&S office checks
  • Diary management for Directors and shared office calendar
  • Assisting HR with training records and induction procedure for recruits
  • Maintain and order supplies of office resources
  • Coordinate internal facilities with appropriate external contractors
  • Organise bookings for employees business travel, maintain travel database and process expense claims
